Why should I register my Establishment with your website ?

First of all it is 100% Free to Register as a USER and then to list your Establishment .
We will then email you all our Enquiries received for your Town/City-Suburb and for the type of accommodation that you provide, for Free!
We will send you many Free Enquiries!
You decide whether to reply and quote or not, and what price to offer. (NB. You can submit a quote only if your total offer amount is within the Enquirers requested total budget).
If your offer is accepted, you finalize the Booking with the Guest and collect the Deposit and the Full Amount Due, directly from your Guest .
For accepted Bookings ,you pay us our 15% referral commission BUT ONLY  after our Enquirer( your Guest! ), has arrived to stay at your Establishment .

On the day your Guest checks in
, we invoice you for using our accommodation booking service and for providing you with the Enquiry that resulted in your Booking.
It costs you nothing to receive our Enquiries. All Enquiries are for your specific Town and Type of accommodation that you provide, and you choose to reply and make an offer or not !
You only pay us when you receive a confirmed booking from our website system. This 15% referral commission is due and  payable to us no later than 7 days after your Guests arrival, (So you pay us only after your Guest has paid you in full! )

Where can I or the Enquirer see my Establishment listing and details on this website?

 Your Establishment details are stored in our data base. We do not display this listing or your details. The Enquirer will only see the information about your listing when you make an offer for an Enquiry.The Enquirer will view your Offer Page containing your quote plus all the details of your Establishment,as per the information you entered when listing your Establishment on our website, including your 6- 8 pictures.

Can I list more than one  Establishment in a Town or in another area? 

Yes, you can add and list as many Establishments as you personally manage in a Town or in another Town or Area, but only once you have registered on our website as a USER .
If your Establishment offers a Cottage or self catering suite as well as Bed and Breakfast accommodation, you need to list your Establishment under each different Accommodation Type,  with each Type having their own unique details and pictures. This way you will receive all our Enquiries for your Town/City-Suburb for both your Bed and Breakfast as well as for Cottage or Suite or Apartment self catering units that you offer.

Can I change my Establishment details, text or images after listing ?

We approve all text and details before listing an Establishment on our website .Once approved and listed you will receive our specific Enquiries for your Type of Accommodation in the Town where your Establishment is listed
If you would like to make changes after being approved , you must send these required changes to support@accommodationsouthafrica.co.za, and we will attend to these requests and advise you when changes have been done to your Establishment listing, ASAP.

What does it cost me when I get a confirmed booking ? 

Your Registration as a USER , the listing of your Establishment and receipt of all Enquiries from our website are entirely for Free!
Should your offer be accepted, you must immediately confirm the booking and arrange to receive your deposit or full amount due to you directly from Enquirer/Guest .
On the day of arrival of your Guest ,we will email you our invoice and banking details for the 15% referral commission due (Commission is calculated on the entire total booking amount as per your offer.This amount is Not Vatable.) The commission amount due, is advised to you when you make the offer, and is payable to us within 7 days of your Guests arrival, via Bank Transfer only.
This website relies on your trust and honesty to pay us! You have no risk and there is absolutely no cost to register as a USER and to list your Establishment and to receive our enquiries!  
  Our unique accommodation booking system will provide you with many Free Enquiries . You only pay us for a confirmed booking from our website, but only after your guests arrives and you have been paid.
Once listed we will provide your Establishment  with many Free Enquiries, all specifically for your Type of accommodation that you offer and for the Town/City-Suburb where your Establishment is  located !

How does the www.accommodationsouthafrica.co.za booking system work ?

The Enquirer on our website makes an  Enquiry by filling in a form (click here) and advises the number of persons requiring beds, the arrival and departure dates, and how much he would like to pay for his entire stay for sleeping all persons. (ie. His total budget amount he would like to spend for accommodating and sleeping all persons for the entire stay)
 If your Establishment is listed and located in the Enquirers selected Town/City-Suburb and your Establishment offers the Type of Accommodation requested.( ie. B and B, Holiday House or Cottage, etc. ),we will email you this Enquiry.

If you have no availability or only partial availability, or if your total quote will be higher than the Enquirers total budget amount requested, then do not reply to the enquiry.
As other Establishments in your Town, with availability,and who can accept and accommodate the Enquirers total budget price requested, will be submitting their offers for this enquiry.Simply delete or ignore the unwanted low priced enquiry,
Provided your quote price is within the Enquirers total amount requested, your offer (for the entire stay, including sleeping all persons), will be forwarded to the Enquirer.

NB. Your offer forwarded, becomes a binding contract between the Establishment, the Enquirer and Find A Room CC trading as Accommodation South Africa . 
NB.You are strictly forbidden to provide any contact details in your replies, correspondence or offers.
The Enquirer can Accept or Decline the offer .The Enquirer can also enter into correspondence with Establishments to ask questions and subsequently decide whether to book at an Establishment or not.
To allow time for the Enquirer to compare all their offers received before accepting one and booking, we recommend that you select a minimum 5 day (120 hour) validity period (or longer ) from the time/date that you submit your offer. The validity period must be advised for each offer sent.
You are required to provisionally reserve the rooms/unit offered in relation to your validity period and the Accommodation South Africa offer made, until you have been notified by the system that your quote has been Declined or until the validity period expires .You can then re offer this room/unit for rental.

If Enquirer accepts your offer, your offer price becomes binding and enforceable by Find A Room CC , together with the related commission due to us, even if your total  price offer has been calculated  incorrectly! Kindly ensure that your calculation of the total offer price for the entire stay is correct before quoting as this offer price cannot be changed once submitted .

Please explain how I get paid my deposit and how the commission payment is calculated!

Once an offer has been accepted, we notify the Establishment of this booking and provide you with the Guests contact details.The Establishment must immediately ( within 24 hours at the latest ) make contact with the Guest to confirm their booking and to finalize arrangements for payment of their deposit and/or full payment from the Guest.
Establishments get paid the full amount directly as per their payment terms on website , and then pay us the 15 % commission due for the booking referral ,within 7 days after their Guest arrives. (You are advised of the commission payable to us should your offer be accepted, when your offer is made.)
 Once an offer is accepted, your offer then becomes a binding legal obligation involving the Enquirer, the Establishment, and Find a Room CC trading as Accommodation South Africa.
The Establishment is required to acknowledge the receipt of deposit/payment from their Guest, and provide clear accurate directions for the Guest to locate the Establishment address. Establishments  must advise their on site owners/ managers contactable phone numbers and the check in and departure times .
The Establishment is responsible when listing details on our website, to record  their own deposit or  payment requirements, as well as their own cancellation policy plus terms and conditions.
These payment options and conditions will be displayed to the Enquirer in the Establishment offer.

If my offer gets accepted, what happens next ?

Once you have made an offer and the Guest has accepted your offer, we will send you the full contact details of Enquirer. You finalize and confirm the booking with the Guest  and make arrangements for the Guest to pay your deposit or the full amount due to you directly, based on your own payment terms & cancellation policy that you entered when listing your Establishment .
NB. You are solely responsible for immediately contacting your Guest ( within 24 hours maximum) and for finalizing and confirming the accepted booking and directly collecting all payment due to you, as www.accommodationsouthafrica.co.za does not get involved in the Enquirer/Establishment payment process. 
The Guest should not have to contact you. Kindly contact them within 24 hours latest,to finalize your booking! All booking correspondence should be directly between your Guest and yourself via our system..
On the day of arrival of your Guest, we will email you our invoice and banking details for the 15% referral commission due ( Commission is calculated on the entire total booking amount as per your offer.This amount is Not Vatable.)
This amount is due to us within 7 days after your Guests arrival, payable via Bank Transfer only to our bank account as advised on invoice.

Do I have to reply to all Enquiries received from www.accommodationsouthafrica.co.za

No. If you have no availability for the requested dates or only part availability, or if you do not wish to reply and make an offer( for what ever reason), and especially if the Enquirers requested budget for the entire stay is to low and not acceptable to you, simply ignore or delete the Enquiry.
You will only be allowed to submit an offer provided your total price quoted is within the Enquirers budget amount that he has requested for the entire period and for sleeping all persons.

My rates are higher than the total budget stated by the Enquirer, should I still make an offer?

No.The system will only allow offers matching or lower than the requested amount, to be sent to Enquirer. If you cannot  meet the Enquirers budget,or you do not have availability for the entire requested dates, DO NOT  make a higher offer . Do not offer part availability to the Enquirer. You will be wasting both yours and the Enquirers time as the system will not deliver your reply.

Can I ask the Enquirer a question before making an offer?

No. But the Enquirer can ask you questions in relation to the detail in your offer that he is interested in and you will then be able to answer questions via our system only.
NB. You are not allowed to provide any form of contact details or website or email /street addresses to Enquirer or attempt to bypass the www.accommodationsouthafrica.co.za booking system in an attempt to avoid and not pay us for the referral commission due for our booking we have arranged for your Establishment.
Any disclosure of your contact details or attempt to get a direct booking and to therefore avoid paying our commission, will result in a strike warning being issued against you and obvious blatant infringements will lead to your subsequent banning from use of our website. 

How many Enquiries  get confirmed via www.accommodationsouthafrica.co.za?

It is normal for an Establishment to only receive 1 or possibly 2 confirmed bookings from about 10 enquiries that they receive from any accommodation website.

The more Enquiries you receive from different websites, including ours, the better chance you have of getting a booking.

At present, about 30% of the Enquiries made through our website are being  confirmed. .Offers are usually confirmed at a price lower than  the total budget requested ,and about 5-10 days after the date that the enquiry was made.
Bookings are confirmed on our website daily. Kindly note however, that your offer is competing with other Establishments in your Town/Cityt-Suburb that offer the same  Type of Accommodation.
The Enquirer,ie. your potential Guest, will compare all offers he receives BUT only book accommodation with an Establishment that he chooses and approves of, for reasons of his own.

We have sent off many quotes but why dont we receive any confirmed bookings ?

It is normal for an Establishment to only confirm 1 or at best 2 bookings from about 10 enquiries that they receive from any accommodation booking website .
The more Enquiries you receive from different websites, including ours, the better chance you have of getting a booking.

What should I write in my reply offer to a Guest?

You must enter a full description, text and details about your Establishment and what you offer when listing on our website.
When you reply to an Enquiry, you should again highlight your Establishments special details and facilities , including the standard of accommodation that you provide, any  special catering or other services available and explain clearly how the total quote amount has been calculated.
Make sure that you also include information about the distance of your Establishment to the nearest shopping centre , distance to recommended restaurants and entertainment venues as well as to the nearest airport. Advise if public transport is available or if a car is required to get to your Establishment and mention other attractions and things to do and see in your area.

Make every offer that you send appealing and attractive to the Enquirer .

 Offers with one line replies such as "R1800 including breakfast for 4 persons ", seldom result in a booking .
Enquirers receive many enticing offers from other Establishments in your Town offering the same Type of Accommodation as yours.Your simple reply with only basic few words offer as above, will be compared by the Enquirer to all other enticing offers received, so your plain short offer is unlikely to result in a booking for your Establishment from our website.

Some reasons why you may not be getting confirmed bookings from our website .

1) Your offer will be compared by the Enquirer to many other same Type accommodation offers received  from your Town/City-Suburb. Some Establishments may be offering accommodation at a lower price than your Establishment, or be better located, or offer added and better value when compared to your offer.
2) Your text is not really descriptive enough and does not enhance your Establishment facilities or amenities or promote your surrounding area or nearby attractions .

3) Your minimum stay requirements (eg."Minimum stay of 4 nights required") or your payment terms & cancellation policy may be too stringent, eg. (" Payment in full required before confirmation") or perhaps you do not accept certain payment methods (ie."We  Do Not Accept Credit Cards.")
 4) It is unlikely that your offer will be accepted unless your reply clearly describes your location, facilities and amenities offered, or if your Establishments 6-8 pictures are of such a poor quality or are not showcasing your Establishment adequately.
 5) Your pictures may have no description text to inform the Enquirer what the picture is about or your pictures may not be relevant to your Establishment or surroundings. (eg., You have pictures of the beach and the sea but you are situated  50-100klms away from the sea)
6) You need to ensure that your Establishment and your price offer stands out from the many other same Type Accommodation offers that the Enquirer  will receive from your Town/City-Suburb. The Enquirer will  compare these offers  before selecting one Establishment that appeals to him and accepting their offer and  booking accommodation with them. 
7) The majority of the confirmed bookings made so far on the Accommodation South Africa  website have been with Establishments who offered less than the total budget for sleeping all persons for the entire stay ,as requested by the Enquirer.
8) It is normal for an Establishment to only confirm 1 or at best 2 bookings from about 10 enquiries that they receive from any accommodation booking website . 
9) The more Enquiries you receive from different websites, including ours, the better chance you have of getting a booking.

What tips can you suggest  to get more confirmed bookings ?

a) Consider carefully what Quote Price to offer in relation to the budget amount requested, for each Enquiry received. The Enquirer does not see or know your normal advertised price.This means you can quote a different or lower price according to each Enquiries total amount for stay requested , and this way be flexible with your pricing and increase your occupancy and average out your income for your Establishment. 

b) Offer special discounted prices for longer stays or for enticing bookings that would fill up gaps in your booking calender,or over quiet periods, especially for a last minute enquiry with arrival due within the next 14 days or lesser time period.
c) The majority of the confirmed bookings made so far on the Accommodation South Africa  website have been with Establishments who offered less than the total budget for sleeping all persons for the entire stay, as requested by the Enquirer.
d) Your chances are better if you reply to  Enquiries with an offer preferably at a lower price than the total budget per entire stay that the Enquirer has requested. 

e) Offer "an added value incentive" to encourage an Enquirer to confirm his booking with your Establishment eg, free airport transfers or meal vouchers, a guided tour, or local shopping vouchers.

f) Provide the Enquirer with as much information about your Establishment and the surrounding area and attractions as possible. Provide use full information similar to what you yourself would expect and require if you were looking to find and book accommodation in a strange town.

g) Make the Enquirer feel welcome by saying "I look forward to meeting and hosting you in my XXX Establishment."
h) Be patient. It is normal for an Establishment to only confirm 1 or at best 2 bookings from about 10 enquiries that they receive from any accommodation booking website . 

How long must I provisionally hold my room/unit for after submitting an offer from your website

Your offer is valid and binding for the validity period you have set for each offer ( we recommend you select a validity period of a minimum 5 days or 120 hours from the time and date that you replied.
If our Enquirer accepts your offer during your validity  period, you are obligated to accommodate him as per our terms and conditions for using this website ! If your offer is declined or the validity period has expired, you can re offer the room/unit to another Accommodation South Africa Enquirer,or to any other enquiry/person.

What happens if I ( The Establishment ) cancel an accepted booking or if the Enquirer(Guest) cancels his booking after paying a deposit or making full payment ?

If you ( the Establishment) cancel a booking that was accepted within your validity period, or cancel at any time, after the booking has been confirmed and a relevant deposit or payment has been made accordingly, then you are still obligated to pay us the 15% referral commission for this accepted booking.( If Booking is canceled by Establishment )
Should the Guest for any reason cancel his booking with your Establishment, after he has paid you a deposit or full payment, you are, as per our terms and conditions, still obligated to pay us our 15% commission on the entire canceled booking amount .
Our referral commission is to be paid to us from the Guests money that you have received.
Our payment is due ,within 7 days of your notification to us of the Guests cancellation of their booking.
The Establishments repayment of deposit /payment due to a Guest for their cancellation of a booking ,if any, less our commission due for the canceled booking, must be calculated and repaid as per your own cancellation policy and the terms and conditions, cancellation  and repayment policy that you entered when listing your Establishment on our website . (If  Booking is canceled by Guest)

What happens when a Guest changes his dates  and shortens his booking before his arrival date and how does this affect the commission payable?

The original 15% commission payable and calculated on your total offer amount as accepted by your Guest for the original booking is payable to us,
unless
1)You copy us with email proof of the request from Guest to amend a  confirmed booking and proof of you correspondence accepting this amendment.
We must receive proof of correspondence and the booking changes  agreed to by both Guest and confirmed by yourself ( the Establishment) within 24 hours of booking amendment
Change of bookings details  to be sent  to barry.edkins@gmail.com, who will advise if an amendment in relation to commission payable is possible or not..
2)  NB.If this agreed booking amendment and proof is not emailed to barry.edkins@gmail.com within 24 hours of an agreed change being made, or if booking amendments and changes are made and requested within  7 days prior to the Guests arrival ,then no reduction of commission due to us will be allowed,  You are then liable to pay us the full original commission as per original offer.Without exception!

This website relies on Mutual Trust and Honesty !

The receipt of  booking commission is important to funding the development and running costs of this website. Any attempt by Establishments or Guests to provide email addresses, telephone numbers, contact details ,or provide any other confidential details in an attempt to avoid paying commission or reduce the commission due, is expressly prohibited.
Any statement or hint made by the Establishment suggesting that the Guest should go directly to the Establishments own website or that they can book directly or to offer them alternative accommodation elsewhere, is strictly forbidden.
Transgressions of our terms and conditions can result in the Establishment and the User being issued with a STRIKE warning. Any further infringements or a blatant attempt to provide contact details to an Enquirer and to by pass the system and therefore to not pay our booking referral commission, will lead to Establishment and User  being banned from using our website.

What is a Strike and Strike warning ?

Kindly do not abuse your Free use of our website !
Transgressions of our terms and conditions can result in Establishment and the User  being issued with a STRIKE warning. Any further infringements or a blatant attempt to provide contact details to an Enquirer and to by pass the system and therefore to not pay our booking referral commission, will lead to Establishments being banned from our website.
Non payment  of commission or late payments are also subject to Establishments  being banned from using website. Legal action may also be taken should payment not be received.
A Three Strikes and you are out policy will be strictly enforced for any transgression of any
published rule or unacceptable action on or effecting the workings of this website.
Strikes are issued at managements discretion in relation to website user infringements and include but are not limited to suggesting or providing contact details, repeated requests for amending commission invoice amounts, late or non payment of commission due to us .
You will be advised of the reason why you have received a Strike .
Once an Establishment or User has received 3 strikes , both Establishment and User will be prevented from using this Free accommodation website.

My Establishment images/pictures  will not download , what can i do to add them to my listing ?

The maximum size/image  for downloading the  6 - 8 pictures is 1000Kb.  The minimum number of pictures you must display on your listing is 6 and maximum allowed is  8.
We suggest you hover your cursor over each image that you wish to use to see what size it is and if it is 900mg or larger, that you reduce the size, as detailed below .
The larger the size of your images, the longer it will take to load your images. .This download also depends on the speed of your internet connections.
To download pictures stored in your computer  onto our website , we recommend that you use the WebResizer to resize your images. To do so, go to http://www.webresizer.com/resizer/ and follow these steps:
1. Upload your images by browsing for your image on your computer, than click on "upload image" (the resolution of your image will automatically be reduced making it easier to load it.This may take approximately 1 minute so have patience!)
2. Set the new size to 600 (width) and click on apply changes.
3. Once done, click on "download this image" (below this new image) and save the image on your computer.( NB.Rename reduced picture file and note this file name and where you have saved them ) Please note that we use images up to 600px to allow the guest to click on an image to enlarge it.

●There is absolutely no charge or any additional cost for you to re register your Establishment details on our accommodation website and to receive our many FREE Enquiries.
You will now only receive Enquiries for your listed Town/City-Suburb and for your specific Type of Accommodation offered ( ie. If you are listed on our website as a Bed and Breakfast in Camps Bay, you will only receive our Enquiries looking for Bed and Breakfast accommodation in Camps Bay.
You will no longer receive all the various Enquiries submitted for Cape Town, as per the old World Cup booking system and also not receive any Enquiries submitted for Camps Bay Self Catering or for Camps Bay Apartments or Villas .
●You decide if you wish to reply to an enquiry or not, but can ONLY reply and make an offer when you have availability for the entire period and ONLY if your total price offered for sleeping all persons for their entire stay is not higher than the Enquirers total budget amount requested.
You  No Longer have to reserve the room/unit offered via our system, for the entire validity period. You can change and set your  validity date for each offer.
Should you get a booking for this offered room/unit from another source during the validity period, you can cancel your Accommodation South Africa Offer, provided this offer has not yet been accepted.
When your offer is accepted you are solely responsible for immediately contacting the Enquirer to finalize the booking and to collect all deposit/payments directly from your Guest.

You pay 15 % commission ( amount not vatable), on total amount of  confirmed booking.

Commission only due and payable to us by bank transfer, within 7 days from your Guests arrival date.( After guest has arrived and paid you)
An Enquirer will now only receive a maximum of  20 offers on a first sent, first viewed basis. All offers will be specifically for the Town/City-Suburb and for the Type of Accommodation that the Enquirer has requested.

How to write Support tickets that get answered quickly and fully.

  • Give the support ticket a subject heading that clearly summarizes the entire query ticket in a few words. This makes it much easier and quicker for us to reply with an answer to your ticket.
  • Ask a maximum of 2  questions in each support ticket. This allows the appropriate support person to answer quickly. If you have five unrelated questions in your single support query ticket, it needs to do the rounds, and inevitably it's going to take much longer to answer and we may forget to answer all your questions. If you have  three or more different questions, rather create a support ticket for each one.
  • Give us precise DETAILS of your technical problem. For instant, if our SYSTEM is doing something unexpected, give us a picture in the support ticket ( ie. a screen shot or copy and paste us the problem to view ) This  is worth a lot more than your typed 1000 words text, when we atteempt try to diagnose what's happening on your PC or gone wrong with our system.
  • For any question relating to our SYSTEM doing something weird on your computer, please tell us what operating system ( ie.APPLE ,MICROSOFT,or LINUX ) you are using, and also what browser( ie. EXPLORER, CHROME, FIREFOX or  SAFARI ) you are using .You might want to try using a different  browser to see if this solves the problem before posting a technical problem support ticket , because that's probably what we going to suggest to you anyway.
